ERP.AI — Privacy Policy

ERP.AI (“the App”, “we”, “us”) is a business-management application provided by Công ty Cổ phần Dịch vụ Công nghệ Quản lý FAB (brand Maion). It helps organizations manage production, procurement, materials, finance and reporting. This Privacy Policy explains what data we collect, how we use it, and your choices.

1. Information we collect

• Account information: your name, email, role and the company/ organization you belong to. Accounts are created by your organization’s administrator.
• Business data you enter in the App: operational records such as production results, work orders, materials receipts/issues, inventory counts, purchase and sales documents, and related notes. This data belongs to your organization.
• Device & technical data: device identifier and push (FCM) token used to deliver notifications, app version, and basic log data needed to operate the service securely.

The App does not collect your contacts, photos library, precise location, or advertising identifiers.

2. How we use your information

• To provide the App and its features to you and your organization.
• To sync your work with your organization’s system in real time.
• To send operational notifications (e.g. approvals, task updates).
• To secure accounts, prevent abuse and provide support.

We do not sell your data and do not use it for advertising.

3. AI and smart features

ERP.AI includes AI‑powered features that use your organization’s information to make the App smarter and more useful for you — for example assisting data entry from documents, suggestions, summaries, reconciliation and analytics.

To power these features, the content you submit for an AI action is processed by a trusted AI provider (the Claude models by Anthropic) acting solely as our data processor on our behalf. That content is used only to generate the result returned to you; it is not used to train the provider’s models and is not used for the provider’s own purposes. We do not sell your data and do not use it for advertising.

4. Device permissions

• Camera: only to scan QR codes for production and inventory operations. Images are not stored or uploaded.
• Notifications: to deliver operational alerts.
• Biometric (fingerprint/face): optional, handled by your device only for quick sign-in. We never receive your biometric data.

5. Data storage & sharing

Your data is stored in a database dedicated to your organization on secured servers and is accessible only to authorized users of your organization. We use trusted service providers only to operate the App on our behalf — secure hosting, push‑notification delivery, and AI processing (see section 3) — under confidentiality obligations. We do not otherwise sell or share your data with third parties for their own purposes, except when required by law.

6. Data security

We use encryption in transit (HTTPS), authenticated access with tokens, and role-based permissions. No method of transmission or storage is 100% secure, but we take reasonable measures to protect your information.

7. Data retention

Business data is retained while your organization uses the service. When an account is deactivated by your administrator, access is removed. To request deletion of your personal account data, contact us at the email below or ask your organization’s administrator.

8. Your rights

You may request access to, correction of, or deletion of your personal account information by contacting us. Business records are managed by your organization.

9. Children

The App is intended for business use and is not directed to children under 16.

10. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date above reflects the latest version.

ERP.AI — Chính sách bảo mật

ERP.AI (“Ứng dụng”, “chúng tôi”) là ứng dụng quản trị doanh nghiệp do Công ty Cổ phần Dịch vụ Công nghệ Quản lý FAB (thương hiệu Maion) cung cấp, hỗ trợ quản lý sản xuất, mua sắm, vật tư, tài chính và báo cáo. Chính sách này giải thích chúng tôi thu thập dữ liệu gì, dùng ra sao và quyền của bạn.

1. Thông tin chúng tôi thu thập

• Thông tin tài khoản: họ tên, email, vai trò và công ty/đơn vị của bạn. Tài khoản do quản trị viên đơn vị tạo.
• Dữ liệu nghiệp vụ bạn nhập: kết quả sản xuất, lệnh sản xuất, nhập/xuất vật tư, kiểm kê, chứng từ mua/bán và ghi chú liên quan. Dữ liệu này thuộc về đơn vị của bạn.
• Dữ liệu thiết bị & kỹ thuật: mã thiết bị và mã thông báo (FCM) để gửi thông báo, phiên bản ứng dụng và log cơ bản để vận hành an toàn.

Ứng dụng không thu thập danh bạ, thư viện ảnh, vị trí chính xác hay mã định danh quảng cáo.

2. Mục đích sử dụng

• Cung cấp Ứng dụng và các tính năng cho bạn và đơn vị.
• Đồng bộ công việc với hệ thống của đơn vị theo thời gian thực.
• Gửi thông báo nghiệp vụ (phê duyệt, cập nhật công việc…).
• Bảo mật tài khoản, chống lạm dụng và hỗ trợ người dùng.

Chúng tôi không bán dữ liệu và không dùng cho mục đích quảng cáo.

3. AI và tính năng thông minh

ERP.AI có các tính năng ứng dụng AI, dùng thông tin của đơn vị bạn để làm Ứng dụng thông minh và hữu ích hơn (hỗ trợ nhập liệu từ chứng từ, gợi ý, tóm tắt, đối chiếu, phân tích).

Để vận hành các tính năng này, nội dung bạn gửi cho một thao tác AI được xử lý bởi nhà cung cấp AI tin cậy (mô hình Claude của Anthropic) với vai trò đơn vị xử lý dữ liệu thay mặt chúng tôi. Nội dung đó chỉ dùng để tạo ra kết quả trả về cho bạn; không được dùng để huấn luyện mô hình của nhà cung cấp và không dùng cho mục đích riêng của họ. Chúng tôi không bán dữ liệu và không dùng cho quảng cáo.

4. Quyền truy cập thiết bị

• Camera: chỉ để quét mã QR phục vụ sản xuất và kho. Ảnh không được lưu hay tải lên.
• Thông báo: để gửi cảnh báo nghiệp vụ.
• Sinh trắc học (vân tay/khuôn mặt): tuỳ chọn, do thiết bị xử lý để đăng nhập nhanh. Chúng tôi không nhận dữ liệu sinh trắc học của bạn.

5. Lưu trữ & chia sẻ dữ liệu

Dữ liệu được lưu trong cơ sở dữ liệu riêng của đơn vị bạn trên máy chủ được bảo vệ, chỉ người dùng được phân quyền trong đơn vị mới truy cập được. Chúng tôi chỉ dùng nhà cung cấp dịch vụ tin cậy để vận hành Ứng dụng thay mặt chúng tôi — lưu trữ an toàn, gửi thông báo, và xử lý AI (xem mục 3) — với nghĩa vụ bảo mật. Ngoài ra chúng tôi không bán hay chia sẻ dữ liệu cho bên thứ ba vì mục đích riêng của họ, trừ khi pháp luật yêu cầu.

6. An toàn dữ liệu

Chúng tôi mã hoá đường truyền (HTTPS), xác thực bằng token và phân quyền theo vai trò. Không phương thức nào an toàn tuyệt đối, nhưng chúng tôi áp dụng biện pháp hợp lý để bảo vệ thông tin của bạn.

7. Thời gian lưu trữ

Dữ liệu nghiệp vụ được lưu trong thời gian đơn vị bạn sử dụng dịch vụ. Khi tài khoản bị vô hiệu hoá bởi quản trị viên, quyền truy cập sẽ bị gỡ. Để yêu cầu xoá dữ liệu tài khoản cá nhân, hãy liên hệ email bên dưới hoặc quản trị viên đơn vị.

8. Quyền của bạn

Bạn có thể yêu cầu xem, sửa hoặc xoá thông tin tài khoản cá nhân bằng cách liên hệ chúng tôi. Dữ liệu nghiệp vụ do đơn vị của bạn quản lý.

9. Trẻ em

Ứng dụng dành cho mục đích doanh nghiệp, không hướng tới trẻ em dưới 16 tuổi.

10. Thay đổi chính sách

Chúng tôi có thể cập nhật chính sách theo thời gian. Ngày “Cập nhật” ở đầu trang phản ánh phiên bản mới nhất.
